Safety and Facilities Manager
Position Overview:
The Facilities Maintenance, Safety, DOT, and Compliance Manager is responsible for the comprehensive oversight of facility maintenance operations, safety programs, Department of Transportation (DOT) regulations, and overall compliance with local, state, and federal requirements. This role involves coordinating the maintenance of company facilities and equipment, ensuring safety protocols are strictly followed, managing DOT compliance, and ensuring the company adheres to all regulatory standards. The manager will be crucial in promoting a safe, compliant, and efficient working environment while managing a maintenance and safety personnel team.


Key Responsibilities:
  1. Facilities Maintenance:
    • Oversee the maintenance and repair of all building systems, including electrical, HVAC, plumbing, and structural components.
    • Develop and implement preventive maintenance programs to ensure uninterrupted facility operations.
    • Supervise and coordinate facility renovation projects, ensuring completion on time and within budget.
    • Where possible, maintain high standards for sustainability – i.e. LEED planning where applicable and appropriate, managing eco-friendly programs (i.e. office recycling, reducing consumption of water, energy, etc.
    • Negotiate contracts and manage relationships with external contractors, service providers, and vendors., including services, repairs, janitorial services, and security.
    • Maintain an inventory of maintenance supplies and ensure necessary equipment is available for timely repairs.
    • Responsible for floor planning, furniture arrangements, preparing plans for new hires, and coordinating interoffice space moves for individuals or teams.
    • Conduct risk management assessments (i.e. in compliance with fire inspections, disaster response, evacuation planning, etc).
  2. Safety Management:
    • Lead organization-wide safety cabinet including monthly review meetings.
    • Develop and implement safety programs to ensure a safe working environment for all employees.
    • Conduct routine safety audits, facility inspections, and risk assessments to identify and mitigate potential hazards.
    • Ensure compliance with OSHA, EPA, and other relevant safety standards.
      • Investigate safety incidents and near misses and implement corrective actions to prevent recurrence.
      • Organize and conduct regular safety training programs for employees and contractors.
    • DOT Compliance:
      • Oversee and manage all aspects of DOT compliance, including fleet management and driver safety.
      • Ensure compliance with DOT regulations, including Hours of Service (HOS), driver qualifications, vehicle maintenance, and recordkeeping.
      • Monitor and manage driver logs, ensuring accurate reporting and compliance with federal regulations.
      • Develop and implement driver safety training programs and monitor driver performance to ensure adherence to safety policies.
    • Regulatory and Compliance Oversight:
      • Ensure compliance with all relevant local, state, and federal regulations pertaining to facility operations, safety, and environmental impact.
      • Maintain documentation of safety and compliance activities, including inspections, certifications, audits, and corrective actions.
      • Collaborate with regulatory bodies to ensure current permits, licenses, and certifications.
      • Keep abreast of regulatory changes and ensure company policies and practices are updated accordingly.
      • Ensure proper handling, storage, and disposal of hazardous materials in compliance with environmental regulations.
    • Team Leadership and Collaboration:
      • Lead and manage a team of maintenance, safety, and compliance personnel, providing guidance, support, and training.
      • Foster a safety, accountability, and compliance culture within the maintenance and operations teams.
      • Collaborate with other departments to meet maintenance, safety, and compliance goals.
      • Communicate regularly with senior management regarding the status of facility operations, safety initiatives, and DOT compliance.
    • Budget and Resource Management:
      • Develop and manage budgets for maintenance operations, safety programs, and DOT compliance activities and annual capital expenditures related to facilities and fleet.
      • Ensure the cost-effective use of resources while maintaining high safety, maintenance, and compliance standards.
      • Track and report on financial performance related to maintenance, safety improvements, and compliance initiatives.
      • Maintain grounds and oversee upgrades and repairs.
Qualifications:
  • Bachelor’s degree preferred in Facilities Management, Occupational Safety, Engineering, Transportation Management, or related field (preferred).
  • 5+ years of experience in facilities management, safety, and compliance, with experience in DOT compliance.
  • Strong knowledge of OSHA, EPA, DOT regulations, and other relevant safety standards.
  • Experience managing building systems (HVAC, electrical, plumbing) and maintenance operations.
  • Demonstrated leadership experience in managing teams and projects.
  • Excellent analytical, problem-solving, and organizational skills.
  • Strong communication and interpersonal skills to collaborate with teams and senior management.
  • Proficiency in facilities management software and DOT compliance tools.
  • Certifications such as Certified Facility Manager (CFM), Certified Safety Professional (CSP), or DOT-related certifications are a plus.

  • Work Environment:
  • This role may involve physical activities, including walking, standing, climbing, and working in environments with potential hazards.
  • Occasional exposure to construction areas, heights, and mechanical/electrical systems.
  • On-call availability to respond to facility-related and safety emergencies.
