Position Summary:
The Compliance Associate is responsible for supporting the Compliance and Accreditation Manager with the ongoing audit functions needed to ensure compliance with regulatory requirements.  These audit functions will include use of established checklists/tools to examine service documentation, billing records, operating practices/controls and compiling of data for analysis by manager.  Focus will also include assisting management with preparation activities for actual accreditation surveys and compliance reviews by regulatory agencies. 
 
MINIMUM REQUIREMENTS:
  EDUCATION: Minimum of High School diploma or GED.

EXPERIENCE:
  1. Preference may be given to applicants with more experience. Preference may be given for prior experience working in fields familiar with OOD, DODD, VA/HUD funding/service delivery systems.
  2. Must be able to pass criminal background investigation and various registry checks and must be eighteen years or older.
KNOWLEDGE, SKILLS, AND ABILITIES:
  1. Five years of experience in social services environment which may include secretarial/administrative support experience; experience with auditing, gathering of data in a non-profit setting preferred
  2. Ability to read, write, and communicate effectively.  Able to type 55 wpm, accurately perform arithmetic calculations and manipulate decimals, as well as dictate notes in meetings.
  3. Advanced experience with computer applications Microsoft Excel and Word required, as well as a working familiarity with scheduling and messaging applications such as Microsoft Outlook and Teams.  Experience with case management/billing software/systems is a plus.
  4. Excellent judgement and discretion in handling sensitive data and confidential information.
  5. Must be proactive, have advanced skills in time management and attention to detail.
  6. Strong prioritization and organizational skills. 
  7. Must be able to multitask, learn and adapt quickly, and work effectively both as part of a team and independently.
ESSENTIAL DUTIES:
  1. Assist with gathering, organizing, and reviewing documents and materials needed to manage compliance to standards and protocols.
  2. Assist in the research and analysis of assigned programs to produce reports pertaining to audits and program outcomes.
  3. Organize, schedule, and conduct input gathering surveys and focus groups of stakeholders.
  4. Data entry and tracking of various databases used for tracking of audit, compliance, and records of participants.
  5. Assist manager with development, organization of, and scheduling of trainings for assigned Missions departments. 
  6. Assist with identifying any issues or discrepancies related to compliance tools/checklists vs. training materials, policies and procedures.
  7. Prepare and distribute information for internal and external communications, including but not limited to memos, emails, and reports.  Help compile and prepare materials and agendas for meetings and presentations.  Schedule and participate in compliance monitoring and reporting meetings.
  8. Contribute to the fulfillment of department and agency objectives and goals.  Comply with all department and agency policies, procedures, and regulations.
  9. Perform other duties as assigned.
PERIODICAL DUTIES:
  1. Assist with planning and coordination of Provider Compliance reviews and Accreditation surveys.
  2. Assist with staff training on new or revised standards/rule change or procedures.
  3. Assist in preparation of special projects (manuals and training materials) as directed by manager.
OCCASIONAL DUTIES:
  1. Assist in the safe and efficient evacuation of individuals with physical disabilities in the event of a fire or other emergency situation.
  2. Conduct physical observations (first aid kits, fire extinguishers etc.) on service vehicles or at offsite location facilities for health and safety requirements.

WORKING CONDITIONS:     (Sitting, Standing, Walking, Overtime, Etc.)
  1. Must be able to move around the facility to include all work areas including community offsite locations.
  2. Must be able to complete paper work, telephone communication and extensive data input and processing.
